UPES educates professional managers and engineers across the Oil & Gas,
Power, Transportation and Mining Sectors. Currently it has 3 campuses in
India-the NCR, Rajahmundry (Andhra Pradesh) and the mother campus at Dehradun.
The university faced numerous challenges in managing huge data resulting from
exponential growth in students, evaluation systems and processes. For one, there
was no integration between the student management and the finance system; so fee
reconciliation was a problem. Second, cross location entries had to be passed
using a generic account which led to long delays in preparation of statutory
compliance documents. So, there was a need to consolidate all data and have a
single system in place. The University went for a SAP ERP solution designed for
Higher Education institutes. One of the benefits was increased awareness amongst
employees about the end-to-end processes. For instance, an Enrolments officer
realized the importance of creating a student record on time and the consequent
impact on other departments. Accountability increased as the system became more
transparent and so did n/w security and backup and recovery capabilities.
